1. Introduction
NEO GYM LLC ("we", "us", "our") operates the NEO GYM mobile application ("the App"). This Privacy Policy explains what personal data we collect, how we use it, and what rights you have over it. By using the App, you agree to the practices described in this document. If you do not agree, please discontinue use of the App.
The App is intended for use in the Republic of Armenia and is governed by the laws of the Republic of Armenia, including the Law on Personal Data Protection.
2. Data We Collect
2.1 Data registered at the reception desk
When you become a NEO GYM member, the following information is collected by our staff at the reception desk and linked to your account:
- Full name, date of birth, gender
- Phone number and/or email address
- Membership ID, subscription package, start and end dates
This data is entered into NEO GYM's internal system by staff. The App reads this information and displays it to you. You may review and edit your name, phone number, email, date of birth, and gender directly within the App at any time.
2.2 Data you optionally provide through the App
The following is entirely optional and only collected if you choose to set it up:
- Profile photo — taken with the camera at the moment or selected from your device's gallery
- Current weight, goal weight, and weigh-in frequency
- Training schedule preferences and reminder timing
- Notes attached to individual weight log entries
2.3 Data generated through your use of the App
- Gym check-in and check-out timestamps
- Session duration per visit
- Attendance history and derived statistics (average duration, visit frequency, monthly breakdown)
- Weight log entries over time
2.4 Data received from NEO GYM's internal systems
- Active subscription status and remaining days
- Payment records for past transactions completed at the reception desk
2.5 Data collected automatically
- Push notification tokens (via Firebase Cloud Messaging)
- Crash reports and diagnostic data (via crash analytics service), including operating system version, device model, and app version
3. Data We Do Not Collect
We do not process payments through the App. All financial transactions are handled at the NEO GYM reception desk. The App only displays a read-only record of past payments.
We do not collect precise GPS location.
We do not collect biometric data beyond body weight figures you voluntarily enter.
We do not share your data with advertisers or third-party marketing platforms.
4. Camera Permission
The App requests access to your device's camera for two purposes:
- QR check-in/check-out — scanning the QR code at the gym entrance to record your visit
- Profile photo — taking a photo in the moment if you prefer not to select one from your gallery
Camera access is optional in both cases. If you decline the permission for check-in purposes, a member of NEO GYM staff can manually process your check-in or check-out at the reception desk. Camera images are not stored or transmitted — only the result of a successful QR scan is recorded, and your profile photo is stored locally on your device.
5. Health-Related Data
Your weight entries and fitness goals are health-related data. This data is stored locally on your device only and is not transmitted to our servers. It is used exclusively to display your personal progress within the App. We do not share this data with any third party under any circumstances.
6. Push Notifications
With your consent, the App sends push notifications through Firebase Cloud Messaging (Google LLC) for the following purposes:
- Check-in and check-out confirmations
- Force checkout alerts (when a session is automatically closed after the timeout period)
- Subscription expiration reminders
- Training reminders based on your configured schedule
- Weigh-in reminders based on your chosen frequency
You can disable notifications at any time through your device's system settings. Disabling notifications does not affect your ability to use the App.
Firebase Cloud Messaging processes your device's push notification token to deliver notifications to your device. NEO GYM does not use Firebase for any purpose beyond delivering the notifications listed above.
7. Crash Analytics
The App uses a crash analytics service to detect and diagnose technical errors. This service automatically collects crash reports that may include device type, operating system version, app version, and a technical error log. This data is used solely for maintaining the stability of the App. It does not include your name, contact details, or health data.
8. How We Use Your Data
- Verifying your identity and activating your account
- Displaying your gym attendance history and session statistics
- Displaying your subscription status and past payment records
- Delivering push notifications you have opted into
- Showing your personal weight and training progress
- Detecting and resolving technical errors in the App
9. Data Sharing
We do not sell your personal data. We do not share your personal data with third parties for marketing purposes. Limited sharing occurs only in the following cases:
- Firebase Cloud Messaging (Google LLC) — for delivering push notifications to your device
- Crash analytics provider — for receiving technical error reports
- NEO GYM internal CRM system — your attendance, subscription, and membership data is synchronized between the App and the gym's internal management system, as both are operated by NEO GYM LLC
10. Data Retention
Weight and health data is stored only on your device and is removed when you uninstall the App or delete your account.
Push notification tokens are removed upon account deletion.
Crash reports are retained by the analytics provider per their own retention policy, typically 90 days.
11. Your Rights
You have the right to:
- Access — request a copy of the personal data we hold about you
- Correction — update your personal information directly through the App (Profile section) or by contacting us
- Deletion — request full deletion of your account and all associated personal data. You may submit this request through the App (Profile → Settings → Delete Account) or by contacting us directly. Deletion is processed immediately upon confirmation.
To exercise any of these rights, contact us using the details in Section 13.
12. Data Security
We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, loss, or disclosure. Data transmitted between the App and our systems is encrypted in transit. Health and weight data is stored only on your device and is never transmitted over the network.

14. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this document and notify you through the App. Continued use of the App after changes are published constitutes your acceptance of the updated policy.
